Install Microsoft SQL Express *

Microsoft SQL Express is a free database system that may be used for the Tractivity database.

Installing Tractivity Software *

Tractivity software is delivered via download from the Tractivity support website

The members only support page includes links to the software change log, installation instructions and current software installation file.

To access the support website you will need to enter a user name and password. These credentials are located on the software license certificate.

The installation file installs all Tractivity applications. Shortcuts that are normally included are: TracManager, touchTrac and pcTrac.

It may be necessary to remove unwanted shortcuts or add shortcuts as needed. To add shortcuts browse to the application installation folder – typically C\Program Files (x86)\Tractivity\TracManager. Then right click on the desired application and choose the shortcut you desire.

Creating a new Database *

TracManager will create a new database if necessary. Once the database is created, the clients may connect to the database. All clients should connect to the same central database.

All TracManager client software connects to the central database.

TracManager Registration *

TracManager license registration is accomplished over the Internet. For first time registration you will need your license certificate. After the initial registration additional clients may obtain the registration information from the database and will only require the serial number entry.

When TracManager is launched the software verifies registration and licensing by pinging the Tractivity License Server via the Internet connection. An Internet connection is required for first time registration and is used to obtain new licensing profiles when new modules or features are purchased. After the initial registration the software will utilize a local cached license profile if the Internet is unavailable.

The license registration is necessary for each Windows User.

To register the TracManager software complete the registration form exactly as indicated on the software license certificate then click Register.

Once the initial registration has been successfully completed additional clients may be registered by auto-populating the register form (except for the serial number) from the database. To do this click “Get From Database” at the top of the registration form. Then set the database path. Complete the registration by entering the serial number and clicking Register.

Only TracManager needs to be registered.

pcTrac Software Installation *

To install pcTrac use the same installation file. Remove unwanted shortcuts.

To set the database path, launch the program using the shortcut and follow the prompts.

pcTrac users will require a pcTrac user name and password. To help on setting up pcTrac users click here

touchTrac Software Installation *

To install touchTrac use the same installation file. Remove unwanted shortcuts.

To set the database path, launch the program using the shortcut and follow the prompts.

touchTrac stations have configuration settings that are controlled using the TracManager software. For help on how to configure the touchTrac stations and work group prompts here

TracManager Users *

To operate TracManager users will require a user name and a password. Each user is assigned access rights associated with the various menus and functions.

The number of TracManager installations or users is not limited. TracManager licensing is a “floating” license scheme which allows as many concurrent users as there are licenses.For example, a system having three TracManager licenses could have a dozen or more users however, only three users would be able to access the TracManager software at the same time.

Network Backup Time *

TracManager provides a scheduled period to support a network backup time. This daily time setting allows the software to suspend use of the database as well as perform necessary housekeeping functions.

The actions taken at the network backup time are:

  1. Close pcTrac and TracManager programs that may have been left running. With the exception that TracManager will not be closed if the Administrator is logged in.
  2. Apply automatic clock out for touchTrac users who forgot to clock out
  3. If using an Access database the database is compacted and a backup copy is made and stored in a seven day rotation folder system located in the database folder. An alert message is generated indicated completion of the backup or the reason why it could not be completed.
  4. If on a holiday, create scheduled holiday time sheets  for qualified employees associated with the holiday setting
  5. The touchTrac program suspends operation and closes the database connection to allow an external backup system access to the file. The touchTrac program will resume after the network backup period.

Software Update Policy *

TracManager provides a setup configuration choice for determining the software update policy. To set the policy, launch the Setup Wizard from the Administrate menu then click Software Update Policy.

SoftwareUpdatePolicy

The status of any new updates is checked at the same time that TracManager accesses the Tractivity License Server (at launch time). The Software Update Policy determines whether the new update notification is presented. The downloading and installation of the update will be accomplished by accessing the Tractivity members only support page.

Migrating to a New Server *

At sometime it may be necessary to migrate the database or iTrac web service to a new server.

Here are the considerations:

If you are using an Access database and not using iTrac IIS web service *

This will require copying the databases to the new location and setting up the share folder.

  1. Shut down all Tractivity software users
  2. Copy the entire TracManager database folder to the new server location
  3. Share the folder to all users with full control
  4. Assure that all clients have a mapped drives to the new server. This may mean removing the original and creating a new map with the same letter. Or it may mean creating an entirely new drive letter if necessary.
  5. Change the database path (if necessary) on each client computer. For TracManager you may launch the program while holding the Shift key down until prompted for a database path. Or, use the File menu on the login screen to choose a new database path. For touchTrac, if the File menu is visible use the File menu to choose a new database path. If the file menu is not available, enter the numeric equivalent of the TracManager Administrator password as the Employee ID. This will cause the File menu to become visible.
  6. Disable access to the old database location
  7. All users may now resume
If you are using an SQL database and not using iTrac IIS web service *

Essentially all this is necessary here is to migrate the database from the old server to the new one.

  1. Be sure the new server has the SQL Express installed – click here for instructions
  2. Shut down all Tractivity software users
  3. Create a backup copy of the database using SQL Enterprise Management Studio back up function.
  4. Restore the SQL database to the new server
  5. Change all client database paths to point to the new server
Migrating a database and the iTrac IIS web service *

This will entail moving the Access or SQL database per above methods, installing and configuring the iTrac web service.

  1. Instruct all iTrac users to suspend operation for the period that will be used to migrate the database. If iTrac users send transactions during this period there is a highly likely hood that the data will be lost.
  2. Move or migrate the database per above instructions
  3. Install IIS per instructions here
  4. Open Firewall ports as instructed (7373, 1433, 1434)
  5. Set the router port forwarding to the new server for port 7373
